Recruitment is a lot like assembling a puzzle: patience, curiosity, and tenacity matter. As a Recruitment Coordinator, you help make that puzzle come together, working closely with the search lead to ensure every search runs smoothly and every candidate and client has an exceptional experience.

What You’ll Do:

Project Coordination

  • Set up new searches, organize documents, and maintain accurate ATS records.
  • Schedule internal meetings, collaborator interviews, and candidate interviews.
  • Coordinate logistics for virtual and in‑person meetings, including travel when needed.
  • Support advertising efforts and ensure postings are accurate and up to date.
  • Keep timelines on track and ensure the search lead has what they need at each stage.

Recruitment Documentation & Proposals

  • Prepare and edit recruitment documents and maintain template quality.
  • Support proposal coordination, including gathering information and managing timelines.
  • Ensure all materials reflect Facet’s tone, clarity, and professional standards.

Candidate Research & Outreach

  • Conduct research to identify target companies, talent pools, and potential candidates.
  • Build and maintain hotlists for active and future searches.
  • Use LinkedIn, ATS data, and industry tools to identify talent.
  • Support outreach, send briefing notes, and review preliminary candidate responses.

What You Need to Succeed

  • 2+ years in recruitment coordination, HR, or administrative support.
  • Strong client service instincts and polished communication skills.
  • Highly organized, detail‑oriented, and comfortable managing multiple priorities.
  • Curious, resourceful, and energized by research.
  • Tech‑savvy, with experience using AI tools and Canva.
  • A collaborative mindset, you enjoy working closely with a team to deliver great work.
